The short version
VivaVoce uses personal information to provide live AI coaching for job interviews and thesis defences, keep your account secure, save finalized transcripts, meter credits, process purchases, and respond when you contact us. We do not sell your personal information or use advertising trackers.
Your extracted CV or thesis text, and the job description or field notes you enter, are saved in your browser, not in the VivaVoce backend. They are still sent to Google Gemini when you start a session so the coach can respond to your actual material.
Information we collect
Depending on how you use VivaVoce, we process:
- Account information, such as your name, email address, profile image, and authentication records received through Google sign-in.
- Preparation material, including the CV or thesis file you upload, its extracted text, its filename, and any job description or field and focus notes you enter.
- Session information, including live voice input, coach responses, finalized user and coach transcripts, session timestamps and status, and token-usage totals.
- Billing information, including your credit balance, purchase and refund history, Polar order and product identifiers, purchase amount, and currency. VivaVoce does not receive or store your full payment-card number.
- Support messages and any information you choose to include when you email us.
Documents, audio and transcripts
When you upload a PDF, TXT, or Markdown document — your CV or your thesis chapters — VivaVoce sends the file to the application server to extract its text. The application does not intentionally retain the uploaded file after that extraction. The resulting text and the context you enter (a job description, or your field and focus notes) are returned to, and stored in, your browser’s local storage under your account.
When a live session begins, that document text, your entered context, your voice audio, and the conversation context are sent to Google Gemini to provide the coaching service. The browser connects directly to Gemini for the live conversation.
VivaVoce stores finalized transcript messages in Convex so you can review and continue conversation threads. We do not store raw voice audio or partial streaming transcripts in the VivaVoce database.
How we use information
- Provide, personalize, and maintain the coaching service.
- Authenticate users and protect account access.
- Save and restore conversation threads.
- Measure session usage and maintain credit balances.
- Process purchases, refunds, and customer support requests.
- Detect misuse, troubleshoot failures, and protect VivaVoce and its users.
- Meet legal obligations and enforce our Terms.
Service providers and disclosures
VivaVoce relies on a small set of service providers:
- Google provides Google sign-in and the Gemini live AI service. Gemini’s handling of prompts, audio, and responses depends on the API service tier and configuration that applies to our deployment. Review the Gemini API terms and Google Privacy Policy.
- Convex provides authentication infrastructure, database storage, backend functions, and realtime synchronization. Review the Convex Privacy Policy.
- Polar is the merchant of record for credit-pack purchases. We share the information needed to create a checkout, including your email, user and product identifiers, and the requesting IP address for currency and tax-location selection. Review the Polar Privacy Policy.
- Hosting and infrastructure providers process requests and technical information needed to serve and protect the website.
We may also disclose information when required by law, to protect rights or safety, or as part of a merger, financing, acquisition, or sale of assets. We do not sell personal information.
Cookies and local storage
VivaVoce uses essential authentication cookies to keep you signed in. It also uses browser local storage to remember your day or night theme and, when you are signed in, your extracted document text, its filename, and your entered context on that device — separately per practice mode.
You can remove local data through your browser’s site-data controls. Doing so may sign you out and will remove the locally saved documents and context from that browser. VivaVoce does not currently use third-party advertising or analytics cookies.
How long we keep information
Browser-stored document and context data remains on that device until you replace it, clear it in the product or browser, or the browser removes it.
Account information, finalized transcripts, usage records, and credit records are retained while needed to provide the service and for legitimate operational, security, accounting, dispute-resolution, and legal purposes. Purchase records may need to be kept longer to satisfy tax and financial obligations.
You may ask us to delete your account information. We may retain limited information where required by law or where necessary to establish, exercise, or defend legal claims.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of personal information, or to object to certain processing. You may also have the right to complain to your local data-protection authority.
To make a request, email contact@vivavoce.chat from the address connected to your VivaVoce account when possible. We may need to verify your identity before completing the request.
Security and international processing
We use reasonable technical and organizational measures intended to protect personal information. No online service can guarantee absolute security, so please use care when deciding what information to include in a CV, thesis, job description, or coaching conversation.
VivaVoce and its service providers may process information in countries other than the one where you live. Those countries may apply different data-protection rules.
Age limits, changes and contact
VivaVoce is intended for people aged 18 and older. We do not knowingly collect personal information from children. If you believe a child has provided information to the service, contact us.
We may update this policy as the service or legal requirements change. We will revise the effective date above and provide a more prominent notice when appropriate.
